Board Meeting Minutes
November 30, 2009
Meeting was called to order at 6:37 p.m.
Present were: Beth Lintz, Pamela Johnson, Michael Schlegler and Debbie Gordon
Amy Cain with Towne Properties was also present.
The approval of the prior meeting minutes were waived and are to be approved via email. Once approved Amy will post the minutes on the webpage.
Amy reported that the owner up date has been checked and there are around 12 units that need to be changed. The annual billing notice was also reviewed and a few minor changes are needed once approved by email could be sent by December 4th.
The financial report as of October 30, 2009 was presented to the board. The total cash for operations is $28,582.48. The total years to date expenses are $7,929.26. The expenses for October are $63.24 which is for AEP, copies and postage charges. The total delinquency stands at $12,828.80. Amy explained to the board that November financials will be sent to them in December.
Review of real estate listings will be preformed and the update of the spreadsheet will be completed. Amy is working on getting a better idea of where the split is for the school districts in the community.
The drafted newsletter was discussed. Overall the board only had a few changes to be made. Should make the changes to the voting location. It is now atFranklin County Engineers West 4444 Fisher Road
Reminding owners if they have not cleaned their gutters and down spouting to do so to avoid drainage and ice damning issues in the winter. (Curbs and storm drains). If they are clogged with leaves/debris, the water does not drain and will freeze, causing icy and hazardous spots. Trash cans need to be properly stored and not left out all the time. The light addition at Trabue and Westbelt is projected for next spring. Once changes to the newsletter are made and once approved via email could be sent by December 4th.
Amy had asked if the board had considered sending the newsletter by email to the owners as a way to cut the expense for the postage and copies. They had some interested in the past but not enough interested or submittal s to set it all up and maintain it. The board just did not have the man power to do so previously.
Pam reported on the crime watch in the community, she found that a home was broken into around thanksgiving and a lap top was stolen. The board would like the management company to incorporate a crime watch report as part of the meeting minutes.
It was noted that the right side entry lighting is out of Trabue Woods Blvd. Mike will be changing the bulb and submitting the receipt for the cost of materials as needed.
The next meeting will be January 25, 2010 at 6:30 at Beth Lintz house.
