Board of Trustee & Officer Monthly Meeting

1.0 OPENING
 
Trabue Woods HOA, Inc. Board of Trustees and Officers met at the regular monthly sessionMembers in attendance were Debbie Gordon (Trustee and Safety Committee Chair), Pam Johnson (Trustee, Treasurer and shared Secretary), Beth Lintz (Trustee, President, Communication Committee Chair and shared Secretary), Mike Schlegler (Vice President) and Nancy Tucci (Web Administrator). Beth is responsible for providing this month’s meeting minutes to Nancy to proof read and send to B&O for approval before posting on the website.
 
1.2 Adoption of Agenda
Rough outline drafted by Beth and presented for review, consideration, additions and modifications by B&O. Moved by Beth, seconded by Debbie to adopt the agenda as presented. The motion was carried.
 
*Last B&O Meeting was held on April 20, 2009.
 
2.0 REPORTS
 
2.1 FINANCIALS (provided by Pam)

2.1.1 Expenditures
AEP: $70.43 (TW Blvd $40.45& Tenagra Way $29.98)
Water: $12.51 (paid by electronic withdrawal)
Bank Charges: $75.44 (check order including shipping)
Welcome Wagon: $7.47
Front Mowing: $100.00 (for gas to Mike Schlegler)
Printing: $96.85 (invoices)
Postal Goods/Service: $64.26
Social: $63.70 (ribbon $8.47, Columbus Dispatch add $45.63, balloons/earth day $9.60.
 
2.1.2 Income
$425.48 for 3 lots (1 payment for 2009, 2 payments for 2008)

2.1.3 Current Bank Balance: $28,993.56
 
 
2.2 DUES COLLECTION:
 
2.2.1 Yearly Dues (2009): Invoices mailed via US Mail on May 6, 2009; announced via the Sandwich Boards at both entrances from May 7, 2009 to May 31, 2009; announced on trabuewoods.builderspot.com. The B&O sincerely appreciates those homeowners who have paid in a timely manner.

Options discussed to resolve unpaid dues including additional notification via US Mail, face-to-face and sending to attorney Loveland for collections.
 
2.2.2 Unpaid Dues Update 2007/2008: B&O voted to delay collections via small claims court due to close proximity of the 2009 dues collections as well as illness in the families of all 3 Trustee’s. 
 
2.2.3 Yearly Dues for 2010: Yearly HOA invoices for 2010 to be mailed in December 2009 and to be due in January 2010. This will match the “fiscal year” to our calendar year and should reduce many of the collections issues.
 
2.3 HOME STATISTICS:
Deferred at this time.
 
2.4 SAFETY/BLOCK WATCH: Received reports of gunshots. There was some question that  this may have been fire crackers. Mike will access the Sheriff Website for additional information.
Block Watch deferred until after the Garage Sale.
 
2.5 COMMUNICATION:
 
Website: Continue to review and respond to Feedback Forms, emails and phone calls. Nancy is having difficulty with HOA email addresses. Suggested using individual’s personal email addresses. Mike and Pam agree for personal email use. Beth and Debbie declined.
Current issues reported by homeowners:
a.       Dog poop: Complaints that people are letting their dogs run lose and consequently the dogs are using neighbor’s yards as a toilet. Complaints that people are walking their dogs and not cleaning up after them. When this has occurred to the B&O personally each has requested the owner remove the waste from their yard, but otherwise they have no recourse. Nancy proclaimed this is not the dogs fault as the responsibility lies with the owner. Please don’t punish the animal.
b.      Uncut grass: Suggesting homeowners contact 311. Also complaints regarding tall grass at the City Neighborhood Park. 311 was contacted but slow to act. Mike Schlegler cut the grass and Debbie Gordon removed cut grass from the sidewalk and street.
c.       Parking in front of mailboxes: Many are not getting mail delivery because people parking on the street are blocking the mail truck. B&O suggested homeowner notify the US Postal Service.
d.      Break in: Homeowner reported his home was broken into and the perpetrator cut the phone lines. No one was injured.
e.       Complaints regarding speeding especially on Tenagra Way and Trabue Woods Blvd.
f.        Complaints of parked cars blocking access to sidewalks forcing children to walk in the street.
g.       Complaints about neighbor’s fences in need of repair and some actually falling down.
h.       Complaints of vacant properties with newspapers littering the area. B&O visited these properties and removed trash. Requesting neighbors to please help by picking up litter, newspapers, etc. of those properties.
 
TNT: Written by Beth Lintz. Last edition was February 11, 2009. Next edition planned for July 2009. In addition to the usual updates the newsletter will include information regarding:
a.      Reformatting Indicia (Beth to follow up)
b.      Development of “Garden Club” for volunteers to pull weeds at front entrances
c.       Mowing of front entrances by Mike Schlegler
d.      Good Neighbor Program
e.      Walk for Food
 
Welcome to Trabue Woods Program: We have 5 baskets made and will make two deliveries. Nickerson – Beth, Sandrell – Pam.
 
 
2.6 SOCIAL:
 
Garage Sale: Tom Kilanski is donating 100 hot dogs and buns for the cook out. The Sandwich Boards announcing the garage sale will be at both entrances on June 7, 2009. A price comparison for hamburgers, buns, cheese, chips, soda and water was made demonstrating Sams Club has the best prices.
 
2.7 OTHER BUSINESS OR TOPICS:
a.       The 6’ fence on Trabue Woods Blvd. surrounding the Maranatha Church is in need of repair. Beth will contact the church to ask if they will repair or if they want us to.
b.      The church has requested we post on website the Vacation Bible School flyer. Pam will scan and Nancy will post.
c.       Pam received a flyer from Ohio Mulch. She will scan and Nancy will post on website.
  
3.0 SHORT-TERM GOALS (to be met by next meeting)
2009 Yearly HOA Dues: There are 66 unpaid dues and going door to door was mentioned however this would occupy a great deal of time which no one is able to devote just now. A repeat reminder will be sent to those homeowners who have not paid. If payment is not made the unpaid will be sent to the attorney for collections.

3.0 LONG -TERM GOALS (to be met by end of 2009)
 
          Collect 2007, 2008 and 2009 yearly HOA Dues
