Call to Order and Roll Call
Trabue Woods HOA, Inc. Board of Trustees and Officers met at the regular monthly session at 6:40PM on January 22, 2009 at Beth’s house. Members in attendance were Debbie Gordon (Trustee and Safety Committee Chair), Pam Johnson (Trustee, Treasurer and shared Secretary), Beth Lintz (Trustee, President, Communication Committee Chair and shared Secretary) and Nancy Tucci (Web Administrator and Reporter).
November 3, 2008 last meeting. No December meeting due to holidays.
REPORTS
Pam Johnson:
Balance as of last meeting: $ 20,816.75
Expenses paid since last meeting:

Garage Sale: June 12 & 13 (Friday and Saturday 0900-3:00 PM). This is a moneymaker for the HOA with food sales. Food sales: Nancy will be cooking and will need help/volunteers: Hamburger & Hotdog with bun, condiments, cheese, chips, drink, and cookie. We will research costs. Goal is to make a profit to support the HOA. Balloons: will be sold. Debbie will research costs at Yankee Trader. Our goal is to make a small profit for each balloon. We will need volunteers.
- Families in Need: Ruth and Ron Lawson (on Faunsdale Dr.) contacted Pam stating that they have nonperishable food and non-food items (shampoo, etc.) for those who are in need. Residents are encouraged to complete a Feedback Form and notify us of anyone in need. Ruth will contact the individual to try to provide assistance.

Due to the holidays and weather baskets/gifts have not been delivered. Beth and Pam will deliver approximately 10 gifts over the weekend.
Debbie Gordon:
- Neighborhood Safety Report: talked to neighborhood officer…
Homeowner contacted Debbie regarding an individual picking through the trash…Debbie contacted Officer Paulus and he confirmed that once the trash is out on the curb, it is not private property so police cannot do anything about it. Homeowner was concerned about identity theft. It was explained that HOA has posted on this topic before. Everyone should protect their identity by shredding important documents.
Another homeowner reported they were unable to get mail delivery due to cars being parked in front of their mailbox. It was suggested that they contact the responsible party to address the situation.
Other reports consisted of an unoccupied van w/ engine running around 2:30 AM in December around the Faunsdale Dr. area. The police were called and the van was towed away.
Open Garage Doors are still being seen throughout the neighborhood. We encourage residents to close them for safety.
Several mailboxes and a fire hydrant were taken out during the ice storm in December. A neighbor placed a sign at the corner of Trabue Woods Blvd. and La Forge St cautioning drivers that this intersection is extremely icy.
We encourage everyone to report suspicious activity to the police first and then to the HOA.
Beth Lintz:
- Outstanding Dues Collections (2007 & 2008) and contact with Attorney Loveland and staff.
Beth is playing phone tag with the attorney regarding dues collections. It is anticipated that the attorney will draft and send out a letter of notification to delinquent homeowners by the first week in February.
2007 & 2008 outstanding unpaid dues: 82 homes unpaid
- Newsletter will also service as a notice of the 2009 Annual HOA Meeting (to save money on another mailing). It will be completed and mailed in compliance with Bylaws Article III; Section 3.04 which states notice shall be given to homeowners not more than 60 days or less than 10 days before the meeting.
Beth requested that Debbie and Pam provide data for portions of the newsletter and submit
information on or before January 30, 2009. Beth will supply Pam and Debbie with a first
draft by February 2, 2009.
- Scheduled next HOA Meeting for: Monday Feb 23, 2009 at 6:30 at Debbie’s home.
- Possible Date for 2009 Yearly HOA Meeting (per Bylaws, Article II, III, 3.01, an Annual Meeting must be held the last Monday in March or within one month thereafter). The last Monday in March 2009 is March 30. The church noted Monday’s are not the best so we will ask for Tuesday March 31, 2009 from 7:00 pm to 8:30 pm. Beth sent and email to Reverend Kenoyer at Maranatha regarding availability for the annual meeting.
- Landscaping: bids for front entrance landscaping into Board from now until March 13, 2009.
- Feb 26, 2009 Bulk-Mail expires…. Unanimous vote to renew the bulk rate. It will save $25 per year (with 2 mailings). Beth will go to PO to renew for a yearly fee of $175.00.
- March 15 taxes due….Beth will call accountant to set up appointment for yearly taxes.
- We will work on updating the HOA Logo and website over the next few weeks.
Nancy Tucci:
- Nancy will work on updating the website with the assistance of the Trustees.
- Nancy will post the meeting notes on the HOA Website this week
- Nancy will post date of Garage Sale on Website. Details on sign up and other specifics to follow
