Executive Session Board of Trustee & Officer Meeting
Date: Monday, April 28th, 2008
Location: Beth Lintz Home
Start Time: 6:56 p.m.-8:15 p.m.
Attendance: Beth Lintz, Board Member & President; Debbie Gordon, Board Member; Elizabeth Ehret, Board Member, Mike Schlegler, former Vice President; and Pam Johnson, Secretary.
Finances: Bank Balance $10,072.12 as of 4/28/2008. Expenses since last monthly meeting: $150.00 to Christa Wike for 6 more Welcome Baskets; AEP 4/5 & 4/28) $54.63/$52.03 Trabuewoods side, $32.68/$31.12 Tenagra side; Accountant Harrison & Rings-$1076.50 (Fix Quickbooks plus 2007 taxes, merge and correct addresses & data); City Columbus Water & Sewer $7.82 (storm water charges).
2008 estimated budget shows yearly deficit of approximately $8,700 (with 80% paying dues) We will continue to seek ways to reduce costs and fund the HOA account with fundraisers and self-pay events. Research and reassessment will continue but an increase in the dues will likely have to be addressed this fall. This will require a special meeting of the homeowners and will require a 67% vote. If this is unsuccessful we must consider hiring a property management company.
§ Invoicing:
Raising dues 5% from $53.00 to $55.65 ($2.65 increase from 2007). 2008 invoices will be mailed out 5/24/2008-5/31/2008 with due date of June 30th, 2008. Billing will list overdue/past due amounts from 2007.
We are in discussion with attorney regarding options of past due amounts for 2007 and looking forward into 2008.
Landscaping:
Bids for landscapers starting now through May 14th. Please fax bids to Beth Lintz at 614-851-3309 if you are interested in providing the communities landscaping needs. Steve Ehret will post on website by 4/30/08.
Welcome Wagon: We have a lot of new people moving into our neighborhood. A basket was delivered to new residents on Tenagra. Multiple attempts were made to deliver a basket to a new resident on Onaway but no one was home or would contact us after leaving a letter on their door. We have several others to deliver. Christa has two baskets ready now and Beth will pick up and either she or Pam will deliver and welcome our new neighbors.
Mowing: Mike Schlegler has agreed to continue to mow Reserve B until it is sold. He has also agreed to mow the front entrances weekly. The board and officers voted to pay for the gas. Everyone thanked Mike for his continued commitment to our community.
Reserve B: Beth faxed contract from potential buyer to attorney for review and recommendations. Beth also emailed attorney requesting follow up.
Newsletters: (May 29, 2008) We will use the same format as last newsletter for continuity. The newsletter will contain a report of the following:
§ Annual Meeting,
§ Home Sweet Home (‘Curb Appeal article, home sales & vacancy stats. Welcome Wagon updates.
§ Financial section will contain all financial information presented at annual meeting plus info on 2008 dues and invoicing,
§ Just for the Fun of it (social events) will be listed including.
Easter Egg Hunt was a success as was the Community Clean up. Beth and Pam will follow up with the City of Columbus regarding the park (pick up brush, remove dead, hollow tree, barbed wire fencing and pallets.
Doggie Run Walk & /Spring Fling: June 14th Time Changed for the doggie run to be in cooler part of late morning.
Doggie Run Registration (10:00-10:15 ) $10 fee w/ T-shirt (Elizabeth will work with Steve for a logo for shirt), $5 fee without T-Shirt and $2. each additional dog. 10:15-11:00 Doggie Walk/Run (will put map and registration form in newsletter & on website) Elizabeth will have to Beth in a couple of weeks. Beth and Nancy will donate T-shirts (Black & Purple).
Garage Sale: June 20th, 21st, and 22nd. Friday, Saturday, and Sunday. Hot Dogs, Chips, Pop will be sold at park to help pay for social events. Hellium Balloons will be placed on mailboxes for a very small fee to show you are part of the garage sale. Maps will be put at front entrances so people can be shown where each garage sale is. People who are going to be in garage sale needs to either fill out feedback form on website, contact Pam Johnson at 614-878-6818 or email her at pkjohnson1960@yahoo.com by May 17th so we can get maps ready for printing. Please give her the following information: Name,
Address, what you are selling (People who are involved in sell will be given what other people are selling so they can tell people where they can find certain items they are looking for).
Safety Issues:
Narrow Streets-remember please do not park cars on both sides of the streets due to how narrow some streets are such as: Tenagra Way. Very hard to get through when cars are parked on both sides of streets. Think of your neighbors and even yourself if a emergency vehicle has to come through. CPD are patrolling the streets on a regular basis during day and night and writing tickets to speeding cars. Please remember to turn your porch lights on at night to deter crime. It costs just a little money. Only one person signed up for the Block Watch. More interest is needed to pursue this.
Resignation:
Mike Schlegler Vice President resigned his position as of 4/7/2008. Any interested parties should complete a feedback form at www.trabuewoods.builderspot.com to apply for the position. Mike’s continued volunteer efforts in other areas are much appreciated.
